Job Description

Employed by AMS, the Receptionist / Office Admin. Assistant will report to the Company Human Resources Manager and will be assigned to the following duties & responsibilities:

General Duties:

  • To receive guests for the Company;
  • To attend to and forward incoming telephone calls;
  • To take proper messages and distribute to the concerned staff;
  • To maintain a register of all incoming & outgoing mails of the Company;
  • To maintain a register of all AMS visitors and their business cards;
  • To maintain a file of all outgoing and incoming mails and memos of the Company;
  • To update the Company master database;
  • To update all Tenants contact list;
  • To update all AMS & Affiliates\' Employees contact list;
  • To type English & Arabic correspondences;
  • To translate correspondences from Arabic to English and vise versa;
  • To photocopy and fax documents;
  • To file correspondences in the Tenants\' files;
  • To assist with AMS Filing and Archive system;
  • To check, improve, monitor, sort and file all documents related to the Archives;
  • To distribute fax correspondences to the concerned staff;
  • To encode data into the Company system;
  • All other administrative work requested from time to time.

Duties related to Leasing Department:

  • To update the Retail Department\'s database (such as, existing tenants, new tenants, empty units, etc.);
  • To file copies of all Long Term and Short Term Lease Agreements of Abu Dhabi Mall;
  • To retrieve documents from the Archives when requested by the department;
  • Translation for Leasing Dept.;
  • To encode data into the Company Leasing Dept. System, when required.
